Browser Extension Detected — What It Means and What To Do

If you see a warning message in Office Puzzle, a browser extension on your device is accessing your session data in a way that falls outside our HIPAA compliance controls. You can remove the extension and continue normally or acknowledge the risk and keep using it — but your practice will assume responsibility. This article explains both paths.

Why you're seeing this message

Office Puzzle detected a browser extension that can access, read, or modify clinical notes and session data within our platform. This extension is not affiliated with Office Puzzle, and we have not reviewed or approved it.

HIPAA & BAA IMPLICATION

When this extension is active on our platform, it may process protected health information (PHI) outside the scope of your Business Associate Agreement (BAA) with Office Puzzle. This means the extension — and its data practices — are not covered by our compliance controls.

The warning appears because Office Puzzle is required to notify you of this risk. We will not block your access to the platform regardless of your choice.

Your Two Options

OPTION A — Remove the extension

Disable the extension in your browser settings and refresh the page. The warning will not appear again. No record is kept and no one is notified.

OPTION B — Acknowledge and continue

Check the acknowledgement box and proceed. Your acknowledgement is logged with a timestamp, and your practice owner will receive a notification email. A reminder banner will appear at the top of your screen each session the extension is detected.

HOW TO REMOVE THE EXTENSION (OPTION A)

Step 1: Open your browser's extension manager

  • In Chrome: click the puzzle icon in the top-right toolbar, or go to Menu → More tools → Extensions.
  • In Edge: go to Menu → Extensions → Manage extensions.

Step 2: Find and disable or remove the extension

  • Toggle the extension off, or click Remove to uninstall it entirely.

Step 3: Refresh the Office Puzzle tab

  • Press Cmd+R (Mac) or Ctrl+R (Windows) to reload the page. The warning will not appear again.
EXPECTED RESULT

The warning modal will not reappear. No notification is sent to your practice owner. Your session continues as normal.

WHAT HAPPENS IF YOU CHOOSE TO CONTINUE (OPTION B)

1. You check the acknowledgement box in the warning modal and click Continue to Office Puzzle.

2. Your acknowledgement is recorded with a timestamp. Your access to Office Puzzle is not interrupted.

3. Your practice owner will receive a notification email informing them of the situation.

4. Each subsequent session where the extension is detected, a dismissible reminder banner appears at the top of your screen.

NOTE FOR PRACTICE OWNERS

If a team member acknowledges the risk and continues, you will receive a one-time email notification. This does not mean your account has been suspended or flagged. It is informational — you may want to review your team's browser extension usage and your organization's HIPAA policy.

TROUUBLESHOOTING

Q: I removed the extension, but the warning still appears.

A: Make sure the extension is fully disabled or removed — not just inactive. After removing it, do a hard refresh (Ctrl+Shift+R or Cmd+Shift+R). If the warning persists, contact support.


Q: I don't know what extension is being detected.

A: The warning applies to any extension that accesses, reads, or modifies clinical notes or session data within Office Puzzle. Review your installed extensions and temporarily disable them one at a time to identify the source.


Q: I'm the practice owner. A team member chose to continue — what should I do?

A: You received an email notification for visibility. No action is required from you, but you may want to speak with your team member and review your organization's policy on third-party tools that handle PHI.
