How to Set Up Availability & Scheduling Preferences

This feature lets you define when each client and staff member is available during the week. Once set, Office Puzzle automatically grays out unavailable times on the calendar and warns you before confirming any booking that falls outside those windows.

 Who This Applies To

Admins only. You must have admin-level access to your agency dashboard to set or edit availability on client and staff profiles.

Setting Availability for a Client

  1. Go to your Agency Dashboard and click Clients in the left navigation.
  2. Locate and open the client's profile.
  3. Click the Preferences tab across the top of the profile.
  4. Under the Weekly Schedule section, click + Add Availability.
  5. In the modal that appears:
  • Select the Day of the Week from the dropdown (Monday–Sunday).
  • Set the Start time and End time for that day.
  • Click Save.
  1. Repeat for each day the client is available.

Setting Availability for a Staff Member

  1. Go to your Agency Dashboard and click Users in the left navigation.
  2. Open the staff member's profile.
  3. Click the Preferences tab.
  4. Under Weekly Schedule, click + Add Availability.
  5. Select the Day of the Week, set Start time and End time, then click Save.
  6. Repeat for each available day.

What Happens on the Calendar

Once availability is set, the calendar reflects it automatically:

Grey column or time block

That time is outside set availability

No shading

No availability has been set; any time can be booked

Understanding "No Restriction"

If a profile's weekly schedule shows No Restriction, it means no availability has been configured for that person. Any time slot on the calendar will be available for booking; there are no enforcement rules in place yet.

Editing or Removing an Availability Entry

  • Each row in the Weekly Schedule table has a blue action button on the right.
Click it to edit the time window or delete that day's entry entirely.
